The role

The Supply Chain Manager (SCM) is responsible for co-leading the Supply Chain Services (SCS) team within i+solutions’ Procurement and Supply Services (PSS) department.  SCS consists of a team of around 20-30 supply chain professionals who oversee the end-to-end process of supply chain transactions, from client request to final delivery and financial closure. The team is mostly made up of Supply Chain Specialists who are allocated to a group of countries and oversee the related transactions. The team also includes other specialist positions that support the end-to-end process, including interns, admins, inventory specialists and supplier management leads.

The SCM is responsible for the well-functioning of i+solutions’ day-to-day operational process and from an HR perspective, responsible for overseeing a select group within the team. The SCM will work closely with his/her fellow managers to ensure the Supply Chain Services team achieves and exceeds its overall KPIs but also ensures the right culture is cultivated within the team, i.e. one of personal and shared ownership, collaboration, support, commitment and professionalism.

The SCM reports to the Project Operations Manager and works closely with internal experts within i+solutions, such as Category Management, Freight & Warehousing, Quality, Finance, IT, HR and Reporting. 

Key Responsibilities

Operational Management

  • Organize and lead professionals within SCS.
  • Oversee the smooth end-to-day process from request to final delivery and financial closure.
  • Responsible for the performance of the team at both global level and individual staff level (including external and internal KPIs).
  • Ensure continuous alignment of all disciplines engaged in activities, realization of agreed deliverables and initiation of new initiatives that contribute to the agreed indicators.
  • Ensuring the team meets the required standards in terms of data entry and completeness.
  • Manage internal and external stakeholder communication.
  • Actively contributes to the PSS’ performance and reporting cycle.
  • Evaluate project deliverables, manage risks and propose corrective measures to the Project Operations Manager.
  • Potential specialization in a thematic area, e.g. supplier management, client management, quality management, business development, etc.
  • The SCM may also be responsible for the management of transactions either to support the team and/or to stay connected to daily operations.

People Management

  • Lead and coach the team to perform and to meet the organization’s expectations for productivity, quality, and goal accomplishment.
  • Consciously create a workplace culture that is consistent with the overall organization’s mission, vision, guiding principles, and values of the organization.
  • Reassess the strengths and development areas of the team.
  • Set goals (HR cycle) for individual development and organizational growth, with the support of Human Resources, when necessary.
  • Effective communication and providing the team with feedback.
  • First point of contact for day-to-day requests such as training, leaves, sickness, ensuring proper communication with the HR Department.
  • Follow up on individual career development paths with team members and support of HR.

Project Management and Continuous Improvement

  • Ensure new and ad hoc projects are transitioned into day-to-day operations.
  • Work with business analysts, IT specialists and financial specialists to assess the impact of new functionalities, processes and projects on the operational flow.
  • Act as project manager, ensuring deadlines are adhered to with appropriate reporting.
  • Play an active role in i+solutions’ continuous improvement cycles by identifying actions and ensuring they are executed accordingly.

Quality, Risk and Compliance

  • Together with the Project Operations Manager responsible for maintaining a high level of quality of SCS operations.
  • Develop and improve related standard operations procedures and working instructions and ensure the team works in compliance with said procedures.
  • Together with the Project Operations Manager responsible for making a team risk register and associated mitigating and contingency actions

Qualifications

  • At least 5-8 years of work experience in Procurement and Supply Chain Management.
  • Proven work experience in management or lead functions.
  • Educational level at least HBO (3rd level education) or an equivalent supply chain education.
  • Strong organizational skills and ability to perform multiple tasks simultaneously, set priorities and work in a team with diverse cultural backgrounds.
  • Good project management skills.
  • Fluency in oral and written English is a must. Command of Spanish and French highly valued.
  • Experience with ERP or procurement/supply chain management software combined with strong computer skills, including sound knowledge of Windows and Microsoft Office.
  • Experience with donor funded projects is considered an advantage.
  • Analytical capacity and insight into business processes, both in the industry and in the business policy arena.
  • IT proficient and a proven ability to work with ERP’s and other similar software.
