The role
The Contracts Manager (CM) sits within i+solutions’ Procurement and Supply Services department, reporting into the Director PSS. The CM is responsible – in collaboration with business owners – for managing the full lifecycle of contracts, including drafting, reviewing, negotiating, and executing agreements for goods, services and partnerships.
i+solutions maintains contracts with multiple stakeholders such as donors, clients, product suppliers, freight & warehousing providers and quality control agents. We enter into donor and client contracts as a result of business development activities, and other contracts as a result of tender and procurement activities. The CM will assist in developing and maintaining said contracts ensuring they meet i+solutions’ standards, including the appropriate terms and conditions and critically, ensuring relationships between contracts are properly maintained, i.e. implementing appropriate flow downs.
Where applicable the CM will work closely with i+solutions’ Legal team to ensure the company is appropriately covered from a risk and liability point of view.
From a behavioural point of view the CM should be independent, autonomous, firm and ready to push back and challenge internal or external stakeholders where appropriate. The CM should have a strong attention to detail, work in a structured manner and as per agreed timelines. In general, the CM should be a problem solver, seeking solutions in sometimes difficult situations.
Main Responsibilities
Contracting
- Developing a wide range of contracts, including but not limited to supplier agreements, service contracts, partnership agreements, and non-disclosure agreements.
- Negotiating, in collaboration with the business owners.
- Reviewing and maintaining i+solutions’ terms and conditions.
- Ensuring appropriate flow downs are in place.
- Providing input to i+solutions’ tendering and procurement activities.
- Act as general subject matter expert within the PSS and i+solutions as a whole.
Contract management
- Maintaining PSS’ contract database (in collaboration with Legal).
- Overseeing and tracking contract milestones, deliverables, and renewal dates to ensure obligations are met on time and in accordance with terms.
- Coordinating with internal teams to ensure proper execution and implementation of contract terms.
- Monitoring and reporting on contract performance and compliance, escalating issues as necessary.
Stakeholder engagement
- Developing strong relationships with internal teams requiring contracting services.
- Developing a good understanding of the ecosystem we work in, specifically the varying needs of our clients.
- Developing a strong partnership with i+solutions’ Legal team.
- Developing knowledge and understanding of PSS’ contracting/contracted organisations.
- Where appropriate, have direct contact with clients, suppliers or business partners on contracting matters.
- Where appropriate, participating in periodic business reviews with contracted parties.
Risk management and compliance
- Identifying and assessing potential risks within contracts and propose solutions to mitigate them.
- Ensuring compliance with all legal, regulatory, and company-specific policies, including those related to procurement and intellectual property.
- Staying up-to-date with relevant legislation and best practices in contract law to guide the organization in its contractual dealings.
- Translating relevant legislation or other international trends and best practices into daily operations and improvement of contracts.
Quality Management System and Continuous Improvement
- Actively contributing to i+solutions Quality Management System by developing and maintaining templates, SOPs, working instructions, etc.
- Where appropriate, providing training and knowledge transfer within the company.
- Actively participating in i+solutions continuous improvement activities, seeking efficiencies and improvements where applicable.
Ad hoc duties
- Contributing to proposals
- Assisting with any ad hoc tasks on a need basis.
Qualifications
- At least 5 years of work experience in contract management, procurement, or legal affairs, with a focus on drafting and negotiating contracts.
- Bachelor’s degree in Law, Business Administration, or a related field.
- Strong knowledge of contract law, procurement processes, and compliance standards.
- Experience in handling international contracts and understanding of cross-border legal considerations is an advantage.
- Experience in pharma industry highly regarded.
- Proven ability to negotiate complex terms and communicate effectively with both internal and external stakeholders.
- Experience within the fields of pharmaceuticals and/or public health highly regarded
- Fluency in oral and written English is a must
- Strong computer skills, including sound knowledge of Windows and Microsoft Office applications including Outlook, Word, Excel and Powerpoint
